The Role
You will be required to support Aviva Investors Talent Acquisition team with scheduling of interviews and general administration duties. This is a fantastic opportunity for someone looking to gain experience of working in a fast-paced recruitment environment.
Responsibilities
The main part of this role will be working directly with recruiters, vendors and hiring managers to coordinate and schedule interviews, some of which can be complex in nature:
Liaison with hiring managers and/or their PA’s to obtain availability or reviewing availability in diaries (as agreed with each manager)
Confirming date and time for interviews with candidates or recruitment agents
Agreeing the best technology to use for interview dependant on role and manager requirements
Sending calendar invitations and Teams links
Keeping up to date tracker of all scheduled interviews and those in progress
Informing recruiters of progress of interviews and providing a summary for each role when required
Managing day to day queries ensuring all are dealt with in an effective and timely manner and escalated where necessary
Ensuring any bespoke requirements for each manager, recruiter or role are taken in to account
Providing additional administration support for the team, including issuing contracts of employment, pre-employment screening oversight and new starter inductions
Skills, Knowledge & Experience
Experience of working in a recruitment administration role or complex diary management essential
Previous experience of interview scheduling or HR administration advantageous
Resilient, highly organised with excellent attention to detail and the ability to prioritise own workload
A demonstrated ability to multi-task, work effectively under pressure in a fast-paced environment
Excellent communication skills and motivated to provide proactive communications without prompting
Ability to interact and work efficiently with recruiters and provide a ‘high touch’ service to hiring managers and candidates

Salary of up to £27,000 per annum
