Kōrero mō te tūranga - About the role

Te Herenga Waka - Victoria University of Wellington is currently recruiting a Project Coordinator to join our operations team.

We're looking for a proactive and task focussed person to join our team and work collaboratively alongside the institute manager, project managers and operations team to coordinate projects across our diverse work programmes.

The Project coordinator will:

  • Develop and maintain efficient project coordination systems to fulfil the administrative tasks required for effective project management.
  • Provide regular project financial reports to project & programme leaders. assist with project planning, administration & budgeting of research programmes.
  • Reconciling project budgets for funded research grants (Marsden, Kiwinet).
  • Draft commercial & Government proposal budgets.
  • Drafting contract variations in conjunction with project leaders.
  • Processing of purchasing requirements for the Institute.
  • Manage recruitment of contract research staff (RA’s, post-docs, fixed-term researchers) as required for research contracts including initial recruitment business cases, recruitment and selection; approval and compliance of employment agreements for fixed-term and casual staff.
  • Assist commercial & Government funding applications and the development of CAPEX business cases.
  • Process and generate commercial invoices.
  • Assist with other discrete projects & administration tasks as directed by the Institute Manager.

You will be able to work autonomously as well as part of a collaborative team to deliver exceptional administration across the Institute.

Key Requirements:

  • Professional experience in a similar role.
  • Effective people skills.
  • Ability to work in a fast-paced environment with a wide variety of tasks and deadlines.
  • Ability to manage own workload which at times may have conflicting deadlines.
  • Ability to remain calm under pressure.
  • Bachelor’s Degree in Science / Engineering or other relevant subject area or experience working in tertiary education, research or industrial environment.
