Job Title: Personal Assistant – Environmental Consultancy
Location: UK
Role Purpose: To provide highly efficient personal assistance to The Head of Environmental Consultancy
This role will be working within a team and will directly support Kaela Fenn-Smith and the wider CBRE Executive group.
Key Responsibilities
? Extensive diary and email management for the Head of Environmental Consultancy, including organising travel (including itineraries), meetings, lunches and dinners.
? Organisation of internal events & workshops on behalf of the Women’s Network
? Effective “gate keepingâ€: managing all incoming communication (including phone calls, voicemail and e-mail), efficiently establishing priorities and ensuring that all correspondence and enquiries are processed in an accurate, professional and timely manner.
? Creation of Powerpoint presentations and pitches from scratch to a high standard, including report writing.
? Full management of e-filing/mailbox archiving.
? Assist Head of EC with business development and strategy documents
? Meet and greet clients, including booking meeting rooms, equipment and organising refreshments as necessary.
? Travel and expenses management.
? Managing responses and communications to executive stakeholders, both internal and external.
? Provide cover for other PA’s when required.
? Creating agendas for executive meetings
Person Specification/Requirements
? Prior PA experieince
? Experience of working with and managing internal/external stakeholders at a senior level
? Ability to prioritise and act on own initiative.
? Possess strong diary and email management.
? Ability to work proactively and cooperatively.
? Exceptional time management skills.
? Ability to work well under pressure and deliver within tight deadlines.
? Extremely professional and approachable.
? Discretion and sensitivity around confidentiality.
? Excellent IT skills: Excel, Word, Outlook and Power Point (production of high-quality documents, reports and correspondence, diary and email management in Outlook).
? Excellent organisational skills and attention to detail.
? Excellent communication skills: spelling, grammar and telephone manner.
? Experience of managing social media accounts desirable.
? This is a hybrid working role, with 3 days in the office, 2 from home.
