LW Theatres Group owns and operates seven commercial theatres in the heart of London’s West End. The Group is wholly owned by Andrew Lloyd Webber and our theatres are some of the most prestigious and desirable in the world. These include the iconic London Palladium and the Theatre Royal Drury Lane, which has reopened as a landmark destination venue, breaking new ground in our industry.

This is a great time to join LW Theatres; there’s a lot happening and our ambitious plans for the future mean that we need a dynamic, driven and proactive PA to support the CCO and be part of this journey.

The role…

- Do you have significant experience in an PA/EA role supporting at C-Suite or Executive/Director level? If you’re looking for a new challenge in a dynamic, fast-paced environment, we’d love to hear from you! 
- We are looking for a motivated self-starter with razor-sharp organisational skills who can manage a busy workload with minimal supervision.
- Reporting into our CCO is the Commercial Director, Director of Ticketing and Data, Group Director of Communications, Director of Sales and Marketing and our Partnership Consultant.
- You will act as a first point of contact to the CCO providing high level, confidential, administrative, PA and project support services; ensuring the CCO achieves their strategic objectives.
- Working collaboratively, and as part of the wider LW Theatres team, you’ll manage your own workload, act independently to action and prioritise work to meet deadlines, lead on the development of a number of internal systems and processes, and liaise with a range of internal and external stakeholders.
- This role sits within a hardworking but sociable team and serves as an excellent opportunity for someone with a keen eye for detail who is able to hit the ground running!

What you’ll be doing…

- Manage and maintain the diary of the CCO; arrange meetings and ensure meeting requests are reviewed and prioritised appropriately. (The CCO is responsible for the commercial strategy and development of LW Theatres and  has four direct reports including the Commercial Director, the Director of Ticketing and Data, the Group Director of Communications and the Director of Sales and Marketing.)
- Manage the inbox of the CCO, including prioritising and proactively responding to emails whilst ensuring confidentiality at all times.
- Ensure that all relevant information is communicated speedily and accurately in a way that can be easily received and understood. Behave sensitively and with discretion where required.
- Prepare meeting materials (agendas, packs, documentation) and take minutes.
Ensure the CCO is organised and focused – prioritising/managing meetings, briefing notes, forward planning and strategically managing action points.
- Keep timely reminders on upcoming deadlines and follow up on progress of actions to wider team whilst keeping the CCO updated.
- Support the Executive Team in the collation and distribution on board papers. Make all arrangements for board meetings and take minutes.
- Assist in the creation of board papers from CCO direct reports and review/arrange before submission.
- Organise, collate and summarise daily, weekly and monthly reports and issuing daily briefing summaries to the CCO.
Prepare and minute commercial meetings as required, including collation and distribution of agendas and action lists.
- Coordinate team away days or other departmental events as required.
- Ensure the claims for expenses for the CCO are reconciled and submitted on a monthly basis.
- Assist in the preparation of reports and presentations, usually in PowerPoint format, gathering information from a range of sources.
- Ensure the CCO is fully briefed for meetings and made aware of actions required in good time.
- Arrange regular one to one catch ups with the CCO to discuss upcoming engagements, invitations and other requests.
Organise client events and business gifts as required.
- Manage ticket requests and RSVPs to events.
- Coordinate holiday requests, approvals and tracking within the team.
- Play a key role in the social committee, energising the team and keeping up team spirits.

Relationship management:
- Interact with all areas of the business on a daily basis.
- Assist in developing and maintaining effective teamwork within departments and offices of LW Theatres.
- Pre-empt requests/information required on behalf of the CCO.
- Provide and promote the highest level of customer service.

What we need…

- Significant and recent experience in a PA/EA role supporting at C-Suite or Executive / Director level.
- Experience in collating and reviewing board packs and minuting board meetings.
- A self-starter with a strong sense of responsibility who can work in a dynamic, fast paced environment whilst managing a busy workload with minimal supervision.
- Experience of simultaneous management of competing priorities and tasks/projects in different stages of development.
- Ability to work efficiently under pressure, be resourceful and have good problem solving skills.
- Ability to communicate well with many different types of individuals in different roles, both internally and externally.
- Excellent organisational skills and great attention to detail.
- Good memory and aptitude for joined-up thinking - recognising how newly received communications/information impact the bigger picture and responding appropriately.
- Ability to take initiative and find areas where assistance is needed in supporting the work of the CCO, identifying tasks, projects and/or potential problems in advance, recommending and implementing appropriate solutions and taking ownership of outcomes as appropriate.
- Flexible and adaptable. Able to react to changing priorities and unexpected hurdles/challenges as they arise.
- Proven experience of prioritising deliverables and planning workload.

- Enjoys being part of a hard-working but sociable team.
- Strong written and communication skills.
- Proficient in the use of Microsoft Office applications, including Outlook, Word, PowerPoint, Excel, and ability to learn other systems easily.
- Experience in live entertainment and an interest in commercial theatre and/or marketing would be beneficial but is not essential.


Salary: Â£40,000 - 45,000 per annum
