The Role

The Operations Assistant will play a critical role in the smooth running of a 55-person team that is rapidly growing. You'll take the lead on essential roles and tasks across all operations functions, from compliance and legals to financial administration.

This is the ideal role for a person with some early Ops experience and who's interested in taking the lead on increasingly complex compliance and legal tasks. The Ops & People Team

You will join a small but mighty team of two. You’ll report to our VP of Operations and Finance and work alongside our People Associate, who helps coordinate HR and Culture.

Tasks and Responsibilities

  • Legal and Compliance (40%)
    • Legal and compliance filing and administration
    • Skilling up on data protection, electronic communication and other legislation
    • Coordinating our information security processes, and working with the VP to identify our compliance risks
    • Engaging in ad hoc internal consulting processes in the areas of legal and compliance on increasingly complex projects
    • Performing legal and compliance research
    • Completing data protection impact assessments and other internal compliance documentation
    • Eventually gaining responsibility for our compliance strategy
  • Finance and Financial Administration (30%)
    • Invoicing and responding to financial queries from partners
    • Scheduling and payment of bills
    • Reviewing and reconciling company and employee expenses (we use Xero and Pleo)
    • Updating internal financial documentation to support the financial planning process
    • Engaging in financial research covering areas such as global sales tax compliance, and working with external advisors.
    • Filing and administration (from bank statements to funding documents for investors)
    • Identifying opportunities for improvement in our practices and policies
  • Company Operations and Administration (30%)
    • Office administration and filing (incl. organising company events, scheduling meetings and booking travel)
    • Cross-functional projects, predominantly on the legal and compliance side, with the Partnerships team
    • Managing long-term projects such as reporting on the efficacy of expenditure of our grant funding

Skills and Experience

  • Diligent and organised. You see huge value in ticking off critical business-as-usual tasks efficiently and accurately. You're happy handling simultaneous requests from across the business and you use sound judgment to prioritise your work.
  • Adaptable and smart problem solver. Our company moves quickly and you'll constantly be doing new things. You take the initiative to highlight and question how we run our processes and you work out the best way to solve problems that are brand new to the company.
  • Responsible and reliable. You will own tasks and processes from day one that help manage and mitigate critical risks at Apolitical. We can trust that you will get things done without requiring oversight.
