The primary responsibility of the Business office Support role is to support the Business leads with all aspects of the ISG global hiring and Business office processes. A key component of the role is ensuring all data is entered promptly and accurately into Citi systems and trackers to facilitate the visibility on headcount movements and statuses.
The successful candidate will act as a partner to the Business Office Line of Business Lead and the Global Chiefs of Staff, who will direct the day-to-day work requirements.
Responsibilities:
Maintain the critical data points such as expense codes, job types, management hierarchy and maintain the highest possible quality standard in all data inputs.
Key all requisition requests validated by Chief of Staff and enter accurately into the headcount management tool for approvals and into People to Projects file, as appropriate.
Ensure requisitions are keyed for submission into the appropriate approval cycles.
Ensure all requests to amend employee/non-employee records are submitted to the relevant HR or Staffing office team and tracked to completion
Ensure all new starts are assigned to their projects for time-booking
Communicate approvals and rejections to the management teams and liaise direct with the hiring manager for outstanding data items such as grade level / job descriptions / justifications.
Assist with headcount weekly check outs to validate on/off movements.
Key all monthly headcount checkouts against the People to Projects file.
Assist Line of business leads with ad-hoc work as directed
Provide full support for scheduling, agenda and minute taking of weekly Stakeholder meetings, including follow up actions
Qualifications:
Strong knowledge and practical experience of MS Office Suite (Outlook and especially in Excel – essential to have experience using and creating pivot tables, basic formula, look ups).
Significant experience in business administration or data input, preferably in resource or headcount management.
Attention to detail; ability to input large volumes of data accurately and quickly into in-house systems
Experience of managing multiple tasks with tight deadlines showing the ability to cope under time pressures whilst maintaining attention to detail.
Experience working within a Global environment with teams across multiple time zones/geographic regions
Excellent interpersonal and communication skills
Highly organised, goal orientated
