Job Description

Major objectives

  • Working very closely with the HSE and Facilities Manager to providing a high-quality Facilities service for AAT staff, visitors and contractors at AAT’s office
  • Ensuring that the Facilities Team delivers effectively against its team plan and AAT behaviours adding continuous improvements.
  • Provide High quality HSE and Facilities Management service and be the main point of contact for the sites related activities

What exactly will you be doing?

  • Hot-desking-updating floor layouts, including electronic updates through relevant software and enable the physical changes throughout the floor
  • Meeting rooms-ensure that all meeting room booking/procedures are correctly followed, including management of the meeting room diary and provision of AV and technical support and refreshments as required
  • Managing finance /purchase order generation on AX or similar related software
  • Overseeing cleaning and maintenance, including liaising with external service partners and contractors on a regular basis, attend meetings and escalate grievances/issues to those relevant under time limitations and to assist the HSE and Facilities Manager with the monitoring and maintenance of the cleaning contract for the floor occupied by AAT
  • Lifting of heavy boxes and move furniture with appropriate equipment and training
  • Health and Safety- Collate reports and carry out investigations into any AAT Accidents, Near Misses and Hazards reporting that occur within the business, working closely with the HSE and Facilities Manager
  • Ensure all staff complete DSE Assessments and provide any guidance and equipment to staff where appropriate. Recording all DSE Assessment including WFH and Hotdesk versions and ensuring these are completed on an Annual basis.

Requirements

What are we looking for?

  • Relevant Health and Safety Qualifications - Fire Warden/First Aider/DSE Assessor
  • Strong understanding of Microsoft Teams/Excel/Powerpoint/Forms
  • Knowledge of facilities-based software
  • Experience of working with sub-contractors/suppliers
  • Ability to be strongly customer-focused
  • Ability to prioritise problem solving
  • Good verbal and written communication skills
  • Good presentation skills
