Job Description

Role Purpose

The Finance Administrator’s role is to provide comprehensive financial administrative support to our Environmental Consultancy team. This is made up of Risk, Sustainability, EIA and Energy teams. They will be a single point of contact within the EC service line to manage key financial aspects of the business, such as the Render and Forecast document, set up new clients, project codes, vendors and invoicing related matters.

The lines of business that the Finance Administrator will be supporting are dynamic and project based. The role will involve supporting on forecasting, project setup, billing, vendor invoice project coding, and project tracking. The role will involve working directly with fee earners within the business, interacting with other finance support functions and may occasionally require direct follow up with our clients.

Key Responsibilities

  • Raising invoices for Retail Service Line (£25m business)
  • Job openings / file set ups / conflict of interest / Anti Money Laundering requirements
  • QA Checklists for teams to be completed upon job opening.
  • Job number updates on team sheets, when required.
  • New Vendor set-ups using in-house system.
  • Third Party Invoice coding (Disbursements)
  • Weekly reminders and invoicing for fee earners, ensuring invoicing is complete by deadlines provided by Finance
  • Aid in delivery of ClientIQ to the business
  • Liaising with key financial support teams - Credit Control, Accounts Payable, Disbursements, Rev Rec etc. as necessary
  • Ad hoc requests as required

Person Specification/Requirements

  • Preferred technical skills and experience
  • Previous experience in a finance administration role
  • Debt and invoice management expertise
  • Previous experience using PeopleSoft will be an advantage
  • Strong excel skills will be an advantage
  • Excellent attention to detail
  • Ability to manage several projects simultaneously
  • Excellent organisational skills
  • Strong communication skills (interacting with project managers in the team as well as other finance support functions and our clients as required)
  • Strong problem solver
  • Excellent time management and ability to work to tight deadlines
  • Ability to adapt and adopt new processes quickly
  • Excellent team player with a positive, ‘can do’ attitude
