CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting a Facilities Coordinator to join the team located in Bracknell. The successful candidate will be responsible for providing the operational delivery of all Facility Management services for Bracknell and the support of in scope works for the Feltham site.
Main Duties
Primary focus on delivery of all FM Operations SLA’s in accordance with KPI & Output measurements including ensuring work orders for all building activities are completed and closed on time.
Co-ordinate with FM Operations and Critical Service teams to deliver service level agreements
Support/Monitor 3rd party maintenance supplier activities when required and report any corrective works arising.
Comply with HSE requirements as outlined within the SLA and as instructed by the company policy. Ensure continuous training is completed within time scale and hazards are reported through company process. Write and update risk assessment for site activities. Support internal and external HSE audits.
Support the Workplace Leader (FM) with the HSE Focal role for Honeywell to include but not limited to the management of Honeywell contractors on the Bracknell site.
Manage site contract and contractor logbooks and ensure they are compliant.
Act as a part of site Emergency team i.e., Fire Marshall, as required for emergency control activities
Report all accidents, occupational illnesses, and emergencies in relevant books/documentation
Ensuring compliance with legislative, Client & CBRE Quality, Health, Safety and Environmental requirements at site.
Conduct monthly self-assessment SLA checks in support of quarterly contract performance requirements
Support FM with the image and visual standards of the site/s to resolve any issues or concerns
Monitor and maintain stationery levels
Co-ordinate site waste and recycling arrangements
Co-ordinate with Security and report any faults on access entry system where necessary
Raise Purchase Orders for goods or services as required, in compliance of business controls at all times
Approve invoices; goods received notes and statements for payment purposes
Ensure site budgets and cost tracking is kept up to date and variable cost controlled and monitored.
Support management of asset registers, maintenance plan and the site capital budget plan.
Understand customer requirements and be able to demonstrate the ability to close out concerns and ensure customer is kept appraised at all times. Update the building occupants with important information via the digital signage.
Understanding the Host offering for the Bracknell site, completing training to ensure a high standard and delivery of the Host experience - a certified hospitality mind-set with a “Can Do†approach to helping our customers through the day.
Support the Feltham site with budget management and maintenance delivery of services in scope and any remedials or ad hoc works requested by the site lead.
Act as deputy in the absence of line management
Provide and arrange cover for the FM team as defined by line management
In addition to the above-mentioned tasks, other activities and responsibilities may be individually defined
Skills
Strong PC skills, MS Office
Self-motivated and resourceful
Good administrative skills
Well organised and good prioritisation and planning skills
Key focus for this role is to ensure that all FM services are delivered in a confident and efficient manner
Service orientated attitude combined with innovative thinking
Experience/Knowledge
Practical experience in working with supply partners to deliver a seamless, integrated service
Customer services experience and the ability to communicate at all levels
Knowledge and awareness of the facilities management industry
