About the Role

We are looking for an experienced executive Assistant to join an international, highly collaborative, and fast-moving executive team. This role will provide first class administrative and project management support to senior leadership team in English Language Learning (ELL).

This is a critical position that requires excellent problem solving, project management, communication and organizational skills, and a high degree of confidentiality. This position requires the ability to work outside of normal business hours at times to support global scheduling and travel. In addition, it requires a proactive role in the day-to-day administrative duties, which may include some responsibility for planning, coordinating and tracking the delivery of a number of strategic and tactical projects from initiation to ongoing maintenance to completion.

Collaboration, partnership and active stakeholder management are foundational to success in this role. Thriving in an evolving environment, continuous improvement for efficiency and growth is key.

Key Responsibilities

  • Diary: Accurate and complete diary management for the supported leadership, scheduling meetings, interviews (if need be), meeting prioritisation (identifying conflicts and suggesting solutions proactively).

  • Meetings: Organisation of meetings for the respective leadership, including management of last-minute changes without consultation. Work on complicated and shifting diaries in different time zones, resolving issues quickly without incident. Notifying team of short notice diary changes. Booking meeting rooms and venues, according to meeting requirements. Sending reminders and pre-read materials.

  • Documentation: Manage the coordination, drafting, compilation, distribution and reporting of all meeting documentation,

  • Communication lists and Organizational charts: Update and maintain organizational charts and related documentation as needed. Ensure Communication lists for the ELL Business Division are continuously updated and available.

  • Travel: Manage the end to end travel arrangements, including Visa, flight and accommodation in line with Pearson policies and cost saving requirements

  • Events: Collaborate closely with the key stakeholders to coordinate logistics of events/meetings, often involving a large number of participants across the globe.

  • Stakeholder management: Develop and maintain strong, credible relationships across business units.

  • New starters & Team Support: Drive and execute onboarding programmes for direct reports of the leadership team such as organizing office space and necessary tools of trade, email account, building passes etc.

  • Expenses: Prepare and submit expense reports as requested.

  • General administrative support: Ensuring all approval documents and items requiring signature are dealt with efficiently and within any deadline.

  • Suppliers, Purchase Orders and Invoices: Support the ELL Leadership team in setting new vendors, processing payments and resolving queries.

  • Ad hoc support may also be required by other members of the broader leadership teams.

Qualifications

Key Requirements and Attributes

  • Degree (or equivalent preferred)

  • Extensive experience of successfully supporting Executive Leadership within a large multinational organisation

  • Strong Computer Literacy

  • Ability to function within the boundaries of confidentiality

  • Ability to take instruction from multiple sources and to manage deliverables accordingly

  • Solution orientated follows a proactive approach to problem-solving

  • Multiple language skills are an advantage

  • This is a global role and may need to work across various time zones and outside usual operating hours.
