Detailed Job Description:

The unique and all-important role of Executive Assistant to the Managing Director is accountable for effectively managing and performing a wide variety of confidential administrative, secretarial, and analytical duties.

This exciting and fast paced position works closely with the Managing Director, building a genuine and trusting relationship to ensure their day is structured and time lines are met.

Along with the Managing Director, the successful candidate will also be responsible for liaising with Adelaide Airport's Chair and Board of Directors, Shareholders, Executive team, heads of business and Government representatives.

The Role Requirements:

  • Coordinate calendar, meeting, and schedule arrangements for the Managing Director
  • Diary upkeep to ensure day runs smoothly
  • Ensure effective and efficient administrative support to Managing Director, Chair, Board of Directors, Shareholders and Executive Management.
  • Coordination of Shareholder and Bond Investor briefings and meetings
  • Preparation of monthly Board papers and related Board activities required for each Board meeting
  • Travel bookings and organisation
  • Preparing minutes, agendas, and reports
  • Coordinating Executive team weekly meetings
  • Coordinating Senior Leadership workshops as required
  • Assisting in the preparation of legal documents and contracts for execution
  • Liaising and maintaining excellent relationships with clients and stakeholders
  • Working closely with other team members
  • Ensure that customer and staff enquiries are dealt with in a timely and effective manner

The Successful Candidate Will Possess:

  • Extensive secretarial/executive/personal assistant experience at senior management level (5+ years)
  • Advanced working knowledge of all Microsoft programs
  • Experience in delivering proactive administrative support including presentations, board papers, correspondence, and minutes
  • Impeccable presentation and communication style, experienced in liaising professionally with senior internal and external stakeholders
  • Ability to influence and operate in a dynamic, high-pressure environment
  • Friendly, approachable, and reliable
  • Flexible and adaptable. Must have a can-do attitude and willingness to take on any task
  • Proven organisational skills and ability to organise others
  • Decisive with excellent problem-solving skills
  • Professional appearance
  • Highly motivated and enthusiastic
  • Ability to accept responsibility and work under pressure with conflicting deadlines
  • Ability to work autonomously with attention to detail
  • Ability to follow procedures and systems

Qualifications:

Essential

  • A professional qualification - Diploma in Business or Secretarial and Office Administration or other relevant qualification

Desirable

  • Knowledge of the Aviation Industry
  • Drivers Licence.
