Job Introduction

The Corporate Affairs team manage day-to-day links with a wide range of individuals and organisations, all of whom are categorised as external stakeholders. These stakeholders include, but are not limited to, senior industry figures, broadcasting policy experts and academics, commentators, people with a professional interest in the BBC and/or some power or influence over the Corporations remit and funding. The Corporate Affairs team co-ordinate the BBCs corporate engagement with these stakeholders, and manage a programme of external engagement for senior BBC Executives.

Line managed by the Head of Corporate Engagement and with day to day workload managed by the Corporate Affairs Manager, the Communications Officer will support colleagues to proactively contribute to identifying and maximising opportunities to promote an understanding and approval for the BBCs purpose and achievements as a major public and cultural organisation.

Communications Officer is the generic job title for band B roles within the Communications division.

Role Responsibility

Under the direction of the Corporate Affairs Manager:

  • Manage an extensive database which is used by Corporate Affairs and other teams to manage interactions with a wide range of external stakeholders. The postholder is responsible for both the content and technical maintenance of the database
  • Responsible for ensuring the database is compliant with all relevant GDPR regulations and adheres to data protection best practice
  • Daily monitoring/logging of relevant information from press cuts, twitter, media articles, speeches etc. Capturing information and feedback from internal and external contacts
  • Responsible for managing the core and shadow stakeholder lists on the database; keeping the lists relevant and up to date so that they reflect a wide range of stakeholders/stakeholder organisations which are relevant to the BBC
  • Periodically researching new opinion formers with whom the BBC should be building relationships and proactively collecting and compiling feedback and intelligence on BBC related issues
  • Manage the external relationship with the database suppliers, and keeping across innovation and best practice, so the database delivers the BBCs future requirements
  • Overseeing the development of database tools and services, working closely with colleagues internally to troubleshoot and resolve issues. Providing training and support to database users
  • Provide ad-hoc support to the Events team on invitation production and management. Assist inliaising with external design team to ensure invitation templates are compatible with the database and will work on a variety of different screens. Support team members who are creating their own invitation templates
  • Responsible for sending out emails from the database on behalf of the Director-General and/or other senior internal executives to a high number of external stakeholders
  • Assist in researching and building guest/target lists for events and campaigns as well as preparing background briefing materials such as biographies as required
  • Work flexibly as a member of the Corporate Affairs team, supporting others to achieve shared objectives and assuming additional projects and areas of responsibility as necessary in order to deliver an integrated approach to opinion-former activity across the business
  • Providing holiday cover for the Communications Advisor, including writing the Corporate Affairs weekly newsletter This Week, Next Week for circulation to key parliamentarians and stakeholders, on behalf of the Head of Corporate Affairs

The Ideal Candidate

  • Proven experience of working with and maintaining databases
  • Highly computer literate with strong Microsoft Office skills including the ability to analyse and manipulate data
  • A thorough understanding of the General Data Protection Regulations (GDPR) and data protection best practices
  • Effective interpersonal and communication skills, (verbal and written), including the ability to present clear and concise professional communications to a range of audiences
  • Experience of using a wide range of digital and social media
  • Strong research skills for producing opinion former lists/guest lists for events
  • Good interpersonal skills to establish and maintain credibility and effective working relationships with a wide range of contacts
  • Ability to work effectively in a team and lead on projects yet work independently, using initiative to solve problems when required
  • Excellent organisational abilities and attention to detail ability to prioritise
  • Knowledge and/or experience of the media/broadcasting environment is desirable but not essential
  • Experience of working with HTML is desirable but not essential
