About this role:

Wells Fargo is seeking an Associate Executive Specialist to provide Pro-active support to the Head of Legal in their day to day business activities.

In this role, you will:

  • Provide a high level of professional support which includes a balance of experienced executive level administrative work, as well, as ongoing ad-hoc project and business initiatives such as planning meetings, tracking deliverables and pulling routine reports
  • Perform heavy calendaring, complex travel planning, extensive document creation and editing, and preparing expense report submissions
  • Act as information source on group and company policies
  • Ensure Head of Legal is well prepared / appropriately briefed for both internal and external meetings and is up to date on any specific requirements / approvals.
  • Manage, create and distribute reports and meeting documents as required; take and distribute meeting minutes for LOB.
  • Answering and directing phone calls, visitors, and other internal team members; coordinating and supporting meeting setup and execution.
  • Performs complex administrative tasks as required, proactively and strategically managing administrative issues ensuring a solution-orientated approach.
  • Perform proxy role for various systems and internal approvals for the Head of Legal.
  • Operate to the highest standards of confidentiality, discretion and diplomacy.
  • Collaborate and consult with peers, colleagues and managers to resolve issues and achieve goals
  • Interact with external customers


Required Qualifications:

  • Previous Executive Administration experience supporting a Legal team or C-suite individual.
  • Excellent organizational skills with the ability to multi task and use initiative.
  • Ability to work under conflicting priorities and pressures; role often requires a high degree of flexibility and re-prioritization at short notice.
  • Proven track record for consistently meeting and exceeding goals and delivering a superior level of job performance.
  • Extensive experience to an advanced level of using all Microsoft Office applications e.g. PowerPoint for complex presentations, Outlook for managing multiple diaries, Excel and Word.
