Job Description

The Executive Assistant ensures the assigned Executive has the support they require to operate on a day to day basis in keeping up with our rapid growth and to sustain divisional teams within the organization.

  • Manage the Executive's schedule / calendar (both at the corporate and divisional levels) and all Executive level administrative tasks, which includes the organization of multifaceted activities; meetings, audio and video conferences, corporate events, travel and amenities bookings.
  • Liaise, follow-up with, and manage other departments on behalf of the Executive to ensure timely production and receipt of documents is achieved.
  • Manage sensitive and highly confidential situations by looking after our associates through the use of the open door policy.
  • Assist the Executive with budget management and tracking, including reconciliations of expenses to bills/invoices. Prepare and monitor the cost centre budget for Executive's Direct Reports.
  • Compose, draft, and finalize standard and non-standard documents using Microsoft Office and other software as required.
  • Coordinate, network, and manage the flow of information with all levels (home office, field associates and external customers) and support the Executive in communications which include publishing corporate and divisional announcements, and coordinates projects.
  • Provide Executive and divisional support through management of the following: recognition of service awards, Shining Star awards, anniversary milestone memos, promotions, birthdays, emergency contact numbers, HO directory updates, vacation planner updates and other duties as required..

Qualifications:

  • Completion of a University Degree or equivalent experience
  • 5-7 years of experience as an Executive Assistant supporting a C level Executive with a strong acumen for project management
  • Excellent multi-tasking skills with the ability to effectively prioritize tasks within a fast paced, deadline-oriented environment
  • Strong organizing skills/detail oriented
  • Excellent interpersonal and communication skills (written and verbal).
  • Ability to handle and maintain information with the highest degree of integrity and confidentiality
  • Extremely proficient in the use of Microsoft Office, including but not limited to Word, Excel, PowerPoint, & Teams
