Job Description
The key responsibilities of the Support Officer are:
- Act as a first point of contact for the office (for visitors and general phone calls) in a way that represents the agency as helpful, friendly and competent.
- Key focus on implementing process improvement throughout your office.
- Work with property and facilities to coordinate office requirements.
- Providing senior level assistance and administrative support to the allocated Leaders in the office, including diary management, financial administration and other day to day activities. Note: The SO role has no financial delegations.
- Assistance with group management processes including recruitment, employee on-boarding and off-boarding, and staff induction.
- Undertake reporting functions for your allocated office groups, including preparation of monthly team reports (as required).
- Maintaining your allocated office group’s records management system, including archiving and retention.
- Arranging travel and accommodation, conference venues and course bookings etc for team members, and process subsequent travel claims.
- Maintaining your allocated office group’s risk and issues registers.
- Managing Official Information Act (OIA) requests.
- General administrative functions, including for example, arranging meetings [including videoconferencing], meeting agenda and minutes, catering as necessary.
- Undertake activities to support the day to day functioning of the office, such as ordering stationary, contacting suppliers and repair people etc.
- Assist with record keeping and information management (incl. staff leave, assisting with routine reporting etc.)
- Assist staff with technical issues (e.g. arranging help with computer problems etc.)
- Participate in opportunities to work collaboratively with other support staff across the country.
