Job Description

We are looking for a front of school office manager to be the ‘face’ of our business and ensure all our visitors, learners and students receive a heart-warming welcome. You will also coordinate all front desk activities, including calls, general inquiries about our services, external reservations of our simulators and aircraft, oversite of operational administration and documentation required to run a professional flight school 

As our office manager, you should combine a pleasant personality with a dynamic professional attitude to interacting with our learners, students, staff and other key stakeholders. Our ideal candidate spots a “situation”, knows how to deal with problems and work collaboratively supporting our team of busy flight instructors.

About our flying school – Ardmore Flying School is located at Ardmore Airport the largest general aviation airport in the country. Our school is a melting pot of cultures however all learners are present to achieve their overall passion and desire to become a professionally trained pilot. With over 100 learners we provide a diverse range of flight training from young professionals stepping on along their pathway to becoming fully licensed pilot to those who have always had a passion for flying and now have the time to pursue a new hobby.   

A background in the aviation industry would be advantageous but most importantly its about having the personality to undertake a key role in our “front of house” services to our customers.  Salary and terms of employment are commensurate with similar roles in general aviation. The role is full time Monday to Friday but there is some flexibility around hours worked. Our preference in summer is for a 7.30 am start and winter 8am. Work is more intense in the mornings when the school is commencing operations for the day with the afternoons being quieter.

Responsibilities 

  • Supervise our supporting interns/learners working with you on the front desk
  • Ensure timely and accurate customer service
  • Handle complaints and specific student, learner, staff requests
  • Troubleshoot emergencies
  • Monitor stock and order office supplies
  • Ensure our main office phones are promptly answered  
  • Keep key records, systems and processes working smoothly including those relating to the day to day flying operations
  • Provide administrative support to our management team 

Requirements

  • Hands on experience with Pastoral care and mentoring/ supporting young people as they aspire to become professionals in their chosen career 
  • Thorough knowledge of customer service, office management and aviation operational procedures
  • Proficiency in English (oral and written)
  • Solid knowledge of MS Office, particularly Excel and Word
  • Excellent communication and people skills
  • Good organizational and multitasking abilities
  • Problem-solving skills
  • Hold a First Aid Certificate
