The successful candidate will possess self-motivation, attention to detail, quality focus, high energy, and flexibility to support the office. The role will include greeting guests and supporting the teams in all aspects of office support management, site coordinator and will be open to adjusting to the needs of the business. This candidate will partner closely with administrative and business staff on a daily basis.

Responsibilities include but not limited to:

Kitchen Pantry Stocking & Maintenance

AM stocking / PM maintenance

Inventory & supply ordering; order receiving and stocking

Business Centre / Supplies Maintenance

Replenishment of stationary to machines and rooms

Paper/stationary supplies inventory, ordering, stocking of public supply cabinets

Ad Hoc - supply receipt, replacement (cartridges) - running self-clean program on printers

Mail Processing

Outgoing courier processing, distribution

Incoming courier receipt, tracking and distribution (includes labor of large supply storage and stocking (i.e. paper towel, kitchen & stationary supplies)

Incoming mail retrieval, receipt from courier, sorting and distribution

Outgoing mail collection and stamp/seal machine processing

Facility/Meeting Space Maintenance

Meeting space inspection and corrections for deficiencies - supply stocking, IT equipment and furniture check/realignment, cleaning

Floor inspections and corrections for deficiencies -cubical name plates, First Aid box checks

Facility & Employee Relations

Monitor and respond to employee inquiries via Site Coordination mailbox

Redirect action items to appropriate staff (i.e. facility requests)

Point of contact for Property Management to facilitate correspondence

Investigate and resolve in house equipment issues and/or redirect for service requests

Manage key request process

Order name plates

Update email distribution lists, monitor new hire/departure reports to update

Projector & presentation equipment facilitator

Special event support

Set up/tear down; supply ordering & receipt, scheduling & room bookings
