Job Description

SOUTHLAND has an exciting opportunity for an organized and detail-oriented administrative professional. The Receptionist / Accounting Assistant provides exceptional customer service and a positive first impression of SOUTHLAND and its employees. This position requires a professional manner and approachable personality to greet visitors and staff members to the Administration Building. In addition, the Receptionist / Accounting Assistant performs various administrative and accounting duties. The position is accountable to the Sr. Accounting Supervisor for the timely and accurate completion of assigned work.

Knowledge and Skills Required

  • Professional demeanour with excellent telephone etiquette
  • Knowledge of multi-set reception telephone system
  • Friendly, supportive manner with interpersonal skills to communicate effectively with drivers, other staff members, management and the public
  • Ability to multi-task, meet monthly deadlines and work well in a busy office environment with numerous distractions
  • Computer proficient with experience in Microsoft Office (Word, Excel, Outlook)
  • Experience with JD Edwards and/or Concur considered an asset
  • Organizational and time management skills with the flexibility to accept new tasks
  • Minimum one year office experience
  • Knowledge of transportation systems an asset

Principal Duties and Responsibilities

  • Provide a warm welcome to visitors and telephone callers
  • Keep reception area clean and tidy at all times
  • Maintain phone system: answer and direct phone calls received, relay messages and forward e-mail as required
  • Update intercom and cell phone list
  • Prepare monthly anniversary and birthday lists for General Manager, Rural Operations Manager and Operations Supervisor
  • Open and close Administration office daily
  • Initiate courier service for outgoing packages
  • Maintenance of kitchen supplies and kitchen cleanliness
  • Maintain general office equipment (photocopier, fax, postage machine, etc).
  • Open and distribute mail daily (internal and external)
  • Support the accounting department as needed:
    • Reconcile vendor statements and contact suppliers for missing invoices
    • Assist with AP/AR filing
    • Enter AP invoices in Concur
    • AR invoice mail out
