Korero mo te turanga - About the role

Te Herenga Waka - Victoria University of Wellington is currently recruiting a Postgraduate Administrator for a full-time, permanent position. The Postgraduate Administrator will work as part of a team who are responsible for providing administration support to staff and students within the Faculty of Engineering.

The Administrator is required to work co-operatively as part of the administration team. The position requires a level of flexibility and the person must have the ability to integrate individual duties with the work of others to achieve team goals in a busy work environment. This position requires a high level of professionalism in relationships with staff, students and stakeholders.

Key responsibilities include the following:

  • To support the effective coordination and delivery of the Schools of ECS and SMS administration
  • To organise Faculty meetings in regard to research committees and take minutes for the Research Faculty Committee
  • Liaising with the University’s student support services and the Faculty of Graduate Research to oversee the processing of postgraduate student applications and supporting documentation
  • To work within a team to provide operational and administrative functions are provided in an effective, accurate and efficient manner

The successful candidate should have proven experience in customer service and office administration, demonstrate excellent communication skills, initiative and attention to detail, as well as being a team player with a can-do attitude. An understanding of the tertiary education sector would be an advantage.

You will thrive in this role with an excellent manner with people, an ability to influence and manage conflict, strong attention to detail, and self-management skills. This role is busy, challenging, extremely rewarding and interesting for the individual with the right temperament.

You will be a highly organised self-starter and natural relationship builder, who relishes working autonomously as well as contributing positively to the Engineering administration team. You will need effective time management and forward planning to balance meeting deadlines and maintain a high standard of service to both students and staff. The ability to remain calm under pressure and thrive working with a diverse range of stakeholders.

Key requirements include the following:

  • Excellent communication skills both oral and written including a consistently high level of clarity and accuracy evident in all written material produced
  • Demonstrated experience in updating and maintaining websites (currently using Squiz and Elements), understanding of Syllabus+ and SharePoint
  • Competent use of Office 365 Apps, particularly - MS Word, MS Excel and MS Outlook calendar management, Powerpoint (or similar), Sharepoint, Teams etc
  • Technical competence in using systems and applications, especially systems currently in use at Tertiary Educational-based institute and to a high standard of accuracy
  • Demonstrated ability to work effectively under pressure in order to manage competing and changing priorities and establishing and achieving deadlines
