Job Description

We are currently looking for a full-time PA for a fixed term until December 2022 for a Government organisation with the possibility of extending for the right person. You will be an integral person, as a PA-based in Auckland supporting a director remotely who is based in Gisborne. Their office is on Queen street but there will be great flexibility for working from home. This really is a fantastic opportunity for an experienced PA who is looking for their next challenge!

This position requires an individual with excellent communication skills, a warm caring attitude, and a high level of initiative.  The role will be varied with a variety of tasks performed on a daily basis.  This role will have extremely busy periods and be fast-paced and you will be expected to work autonomously and with an initiative.

Personality and “fit” is most important for this role.  However, it is expected that the successful applicant would possess high-level PA skills.

This full-time role will see you working Monday to Friday, with normal office hours. 

Duties include:

  • Proactively consider the needs of the Directorates (and Directors) they work with and act to put in place a cohesive flow of information or other support mechanisms that add value to the smooth operation of the Directorate
  • Stay ahead of customer needs, providing accurate and timely responses to customer queries
  • Work collaboratively with other Personal Assistants and Business Support Coordinators to provide integrated and seamless customer service
  • Build and maintain relationships with key internal stakeholders forming networks and establishing key contacts
  • Document management and presentation
  • Recruitment administration, email management, procurement support, domestic travel booking, and coordination
  • Financial transaction support, program and project management support, event management
  • Diary and meeting management
  • Understand and role model our Health, Safety and Wellbeing policies and procedures, proactively identify potential hazards, and take appropriate action.

To be considered you will ideally have:

  • 2+ years in a similar role - experience providing PA support to senior managers 
  • High-level computer skills - Intermediate Word, Excel, PowerPoint, Outlook
  • Great time management skills and a proactive and positive approach
  • Excellent communication 
  • Flexible for a variety of tasks 
  • A fast typing speed with high accuracy
  • Administrative experience in a busy and complex work environment which demonstrates the ability to manage multiple functions/tasks to deadlines
