Job Description

We are looking for someone who will build and maintain strong working relationships with key contacts within the business, someone who conveys a professional image for Harrods at all times, exercising tact and diplomacy in handling a range of situations.

As a Personal Assistant you will be reporting into the Head of Department, you will also provide seamless administrative support and develop a deep understanding of the needs and preferences, in  order to  ensure  a  smooth running office. It is expected from you to deal with enquiries and requests promptly and to communicate in a clear, confident and professional manner at all levels both internally and externally. As a P.A. you will have to be mindful of deadlines and prompts, the use of initiative to solve problems is a must in this role.

About you

You will be highly organised and attentive to details, as well as have an exceptional track record in building, leading and supporting teams to achieve success. You will have experience in managing schedules effectively and have an excellent working knowledge of and proficiency using Microsoft Outlook, Word, Excel, PowerPoint and VisioKey Performance Indicators (KPI’s). Your responsibilities will include:

Diary Management & Administration

  • Effective diary management: understanding the importance of key meetings, builds flexibility into the diary and anticipates needs.
  •  Screen incoming telephone and email enquiries and direct them appropriately.
  • Review incoming correspondence, distribute and respond accordingly ensuring necessary follow up. 
  •  Manage and organise administration, preparing letters, reports and other documents.
  •  Prepare documentation such as agendas and figures for meetings/ presentations and co-ordinate any project work.
  • Arranging internal and external meetings; booking rooms, organising equipment and catering.
  •  Meet and greet external visitors
  • Make travel arrangements as required, in line with Company policy
  •   Ensure there is sufficient stationary supplies within the department.
  •  Support with all other administrative tasks as directed
  •  Ensure expenses are processed within Company guidelines / timeframes
  • To liaise with internal departments regarding telephone installation, desk and computer requirements
  • Develop an understanding of Company Policies

Communication

  • Ensure their line manager where they need to be throughout the day and prompts them where necessary.
  •  Communicates clearly, confidently and in a professional manner at all levels both internally and externally.
  • Is mindful of deadlines and prompts where necessary.
  • Deal with all enquiries and requests promptly only escalating when necessary.
  • Uses initiative to solve problems without the need to escalate.
  • Build and maintain strong working relationships with key contacts within the business.
  • Handle sensitive information with the highest level of discretion and confidentiality.
  • Work in partnership with other Personal Assistants
