Job Description

Key Responsibilities

  • Full ownership of diary management
  • Organisation and booking of business travel through the company’s preferred supplier - flights, train tickets, taxis and hotel accommodation
  • Filing expenses as required and keeping track of reimbursements
  • Preparing and amending PowerPoint presentations
  • Amending and formatting reports, correspondence and presentations to ensure they are in line with the corporate standard
  • Raising client fee invoices and processing supplier invoices
  • Daily duties including booking meeting rooms, ordering stationery, delivering post
  • Buddy cover for other PA’s within the Department
  • Event planning: liaising and working with other PA’s in the business
  • Business cards / contacts management; maintenance and management of records; filing if necessary

Person Specification/Requirements

  • Exceptional attention to detail
  • Good communication skills, both verbally and in writing
  • High responsiveness
  • Ability to prioritise and co-ordinate tasks efficiently ensuring all deadlines are met
  • Strong organisational and administration skills
  • Good interpersonal skills; team player
  • Ability to maintain a positive attitude towards routine tasks
  • Ability to be pro-active and work autonomously and as part of a wider team
  • Confident and assertive where required
  • Flexible approach to work
  • Understands the importance of confidentiality/discretion
  • Experience gained from working within Financial Services and / or Real Estate
  • Good Microsoft Office skills (Word, PowerPoint, Excel, MS Outlook)
