Job Description

Primary Responsibilities:

  • Manage the preparation of monthly client billing
  • Maintain calendars and address books
  • Perform version comparisons and revisions to large documents
  • Save documents to document management system
  • Coordinate travel arrangements for partners & other employees with travel department
  • Prepare expense reports and vendor invoices
  • Manage client files, both paper and electronic
  • Answer multiple phone lines and take messages
  • Work collaboratively in a team environment to assist colleagues as back-up when needed
  • General office functions such as printing, photocopying, scanning, and filing

Requirements

  • Knowledgeable computer skills including word processing, spreadsheets and presentation software, as well as databases and customer database systems
  • At least 3+ years of Administrative Assistant experience supporting senior or executive leadership, in any corporate environment
  • Excellent written/verbal communication and organizational skills
  • Experience preparing invoices and processing expense report submissions using one or more common software
  • Post secondary diploma in legal support (assistant or clerk) OR other business related program
  • Able to take initiative, set priorities and multitask
  • Strong critical thinking skills to trouble-shot and problem solve
