Job Description
Primary Responsibilities:
- Manage the preparation of monthly client billing
- Maintain calendars and address books
- Perform version comparisons and revisions to large documents
- Save documents to document management system
- Coordinate travel arrangements for partners & other employees with travel department
- Prepare expense reports and vendor invoices
- Manage client files, both paper and electronic
- Answer multiple phone lines and take messages
- Work collaboratively in a team environment to assist colleagues as back-up when needed
- General office functions such as printing, photocopying, scanning, and filing
Requirements
- Knowledgeable computer skills including word processing, spreadsheets and presentation software, as well as databases and customer database systems
- At least 3+ years of Administrative Assistant experience supporting senior or executive leadership, in any corporate environment
- Excellent written/verbal communication and organizational skills
- Experience preparing invoices and processing expense report submissions using one or more common software
- Post secondary diploma in legal support (assistant or clerk) OR other business related program
- Able to take initiative, set priorities and multitask
- Strong critical thinking skills to trouble-shot and problem solve
