We are currently seeking for an Order Management Coordinator who will be  supporting the sales team with non-customer facing administrative tasks such as order placement, auditing contracts, order acknowledgements. The ideal candidate must have a keen eye for details and a resolute commitment for excellence.

What YOU will be doing:

Order Management

  • Receive, audit and process orders from our National Sales Team (Dealer Partners and Territory Managers)
  • Prepare customers files with all components of a complete order including signed purchase agreement, signed quote, drawings and ensure that payments have been made
  • Communicate with National Sales Team and Dealer Partners to ensure all parts of an order are complete and accurate; send questions and request clarification on orders as needed
  • Work with the Technical Support Team to clarify questions related to assistance requests and structure checks
  • Provide backup to the service department by processing service orders (support for vacations or sick days)
  • Act as a Marvin Windows Canada Help Desk for OMS (Marvin’s internal order management system); provide support to the National Sales team and Dealers regarding OMS questions.

Administration

  • Receive and audit order acknowledgements
  • Review order financials and prepare file cover sheets
  • Prepare and distribute delivery papers
  • Assist co-workers on various tasks, projects and month end exercises when required
  • Work with accounting, logistics and technical service departments
  • Supply accounting with sales figures pertaining to orders booked on a daily basis
  • Take initiative and use sound judgement
  • Other duties may be assigned from time to time as required

 

What YOU bring to the table:

  • Minimum high school education /College Diploma or equivalent
  • 2 years experience in Order Management/Customer Service experience (preferably in the windows and doors industry or building / construction materials industry).
  • Must possess superior organizational skills and ability to balance multiple priorities
  • Strong commitment to excellence and attention to details to perform audit functions
  • Proficient in MS office (Word, Excel, Outlook)
  • Excellent communication skills both verbal and in writing to work effectively with cross-functional teams
  • Self-starter with problem solving skills
  • Exceptional interpersonal skills while observing professionalism and diplomacy at all times
  • Ability to work individually as well as part of a team
  • Willing to upgrade knowledge as required
  • Ability to adapt to new technology
