The Role

We're currently looking for an Operations Scheduling superstar to join our team.  Working with a number of New Zealand's leading Asset / Facilities managers and owners, the successful candidate will be responsible for managing our workflow schedule optimum efficiency and service delivery to our clients.  Amongst other things, you will:

  • Strategically prioritize work and determine resource assignments to proactively plan and align a multi-week, rolling schedule
  • Ensure work is performed on-time and within the specified customer, compliance, safety, and operational performance metrics.
  • Prepare contingencies in the event of a last minute cancellation or change in schedule and notify all stakeholders including technicians
  • Notify clients regarding scheduling, schedule changes, no shows, cancellations etc
  • Proactively communicate with all stakeholders ensuring all are well informed of the job schedule, timings, prequals, and any other jobs specific requirements.  
  • Work with client representatives, local authorities, and other external stakeholders to ensure all jobs are properly planned with correct permits obtained prior to commencement.
  • Work with internal stakeholders to manage the job pipeline to achieve optimum efficiency.
  • Review job scope and work with admin staff to ensure materials / supplies are available for each job.

Requirements
Based out of our Onehunga offices, the ideal candidate will have experience working in the facilities sector (or related field) as possess the following qualities / competencies:

  • 3+ years Operations Scheduling or Operations Administration / Supervisor experience within the facilities sector or related field
  • Verifiable experience achieving success managing multi-site based teams to achieve service DIFOT!
  • A tertiary qualification in Management, Project Management, Operations Management, or related field is ideal but not essential.
  • Great communication skills (written / oral).
  • A solution’s based outlook to operations where no challenge is insurmountable.
  • Experience delivering results under pressure whilst upholding core business values and H & S standards
  • A strong demonstrable background in areas such as project management, operations management, or warehouse / logistics management.
