Supports an entire office location with general administrative task (vs operational support) such as greeting scheduled visitors, maintaining supplies, arranging for equipment or facility maintenance, entering data or performing word processing work, coordinating the logistics for office events or the logistics for office moves (e.g., moving office furniture, packing files, etc.). May provide back-up support for reception/switchboard or the mailroom or be responsible for these functions in a small location.

  • Reads and routes incoming mail.

  • Composes and proofreads routine internal and external correspondence.

  • Organizes and maintains file system, and files correspondences and other records.

  • Answers and screens manager’s telephone calls and arranges conference calls.

  • Greets scheduled visitors and directs to appropriate area or person.

  • Conducts research and compiles statistical reports.

  • Coordinates and arranges meetings, prepares agendas, and transcribes minutes of meetings.

  • Maintains supplies and arranges for equipment maintenance.

  • Performs basic accounting duties, such as receivables, payables, and invoice approval preparations.

  • Assists in performance of general administrative procedures.

Job Requirements

Experience:

1 year required, 3 years preferred of administrative suppor t experience.

Education:

High School Degree or Equivalent required

Skills

Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other off ice procedures and terminology.

Complete administrativ e tasks accurately and on time.

Strong written and verbal communication skills.

Strong computer skills.

Ability to identify and resolve problems in a timely manner is preferred.

Ability to balance team and individual responsibilities is preferred .

A bility to a dapts to changes in the work flow and is able to multitask is preferred.
