Responsibilities
As a Meetings and Events Coordinator, your duties will include but not be limited to:
- Assisting with the execution of external company events, sponsorship events, meetings and internal conferences and meetings on behalf of internal partners.
- Producing event schedules for projects managed by the Team.
- Assisting in managing supplier relationships, including but not limited to RFP follow-up, invoice processing, event reconciliations
- Maintaining Meetings & Events Team company net website and company Connect websites
- Communicating with internal partners and internal and external suppliers in a skilled a professional manner
- Building and Managing online registration using the team’s online tools
- Providing administrative support as it relates
- Managing Meetings & Events calendar, Bullfrog reports, Invoicing, team survey on TemboSocial
- Researching and supporting as needed for the RFP processes for various programs
- Leveraging own industry relationships to get proposals delivered efficiently and accurately.
- Growing team’s vendor relationships portfolio.
- Liaising with the different lines of business to collect materials; ppt, video, images to create walk-in and/or walk out presentations.
- Providing support to the on-site team for selected meetings and events
Qualifications
- Degree/diploma or equivalent in event management or hospitality industry
- 2 to 4 years’ of experience in coordination within a corporate environment
- Experience with any event management software is preferred
- Must have advanced Excel knowledge
- Knowledge of Request for Proposal (RFP) procedures
- Experience in meeting/event planning with attendee sizes between 125 - 500
- Working experience with Request for Proposal procedures, rooming lists and BEO’s
- Proven expertise with event registration tools; Cvent, Limelight, e-touches, Survey Monkey
- Experience working in an environment with senior executives and managing their expectations
- Planning and organizational skills
- Communications and writing skills
- Extremely detail oriented while working in a fast paced environment
- Customer service orientation
- Flexibility, creativity, initiative, teamwork, cooperation & relationship building
- Microsoft Office; Word, Excel, PowerPoint
- Initiative and self-reliance with the ability to function autonomously
Nice to have:
- Graphic design knowledge beneficial for various projects.
- Knowledge of computer applications/software required in advanced event planning; TemboSocial and CVent
