ROLE SUMMARY

  

The ECOYA Inventory & Logistics Coordinator is a key member of our ECOYA Supply Chain team reporting into the Supply Chain Manager. The primary focus of your role will be to: 

  • Coordinate Exports for both inter-company & customer orders for ECOYA.
  • Liaise with Customer Services to ensure domestic sales orders are processed by 3PL warehouses in accordance with the agreed prioritisation and performance levels.
  • Liaise and coordinate with 3PL partners to ensure KPI’s are met.
  • Manage Finished Goods (FG) inventory levels and accuracy at ECOYA 3PL locations.
  • Actively contribute to ECOYA being the best supplier our customers do business with, ensuring an exceptional customer experience from an efficient supply chain.
  • Contribute to an efficient, effective and sustainable supply chain.
  • Be the NetSuite Logistics champion for the Supply Chain team and wider business.

This role is a full-time, permanent position (40 hours a week) based in central Auckland.

  


KEY RESPONSIBILITIES

Logistics Co-ordination (40%):

  • Process export market orders for ECOYA sales team, ensuring shipping deadlines are met and customer orders are delivered in line with demand forecast.
  • Schedule 3PL partners to, pick, pack and dispatch freight, prepare export paperwork and coordinate shipments with Freight Forwarders for timely delivery.
  • Plan, book and process replenishment shipments of Export and domestic inter warehouse stock transfers.
  • Issues resolution as necessary with warehousing and logistics providers, internal team and customers.
  • Coordinate freight quotes and estimates for sales planning.
  • Work closely with 3PL’s and Freight Partners to forecast inbound and outbound demand and coordinate overall business workflow.
  • Maintain Standard Operating Procedures (SOP’s) with 3PL and Freight Partners, ensuring all market specific order requirements are captured, processes are agreed and roll them out to responsible teams.

Inventory Control (40%):

  • Maintain physical & system FG inventory accuracy through routine stock takes, reconciliations and approved adjustments.
  • Maintain inventory levels at ECOYA warehouse locations as per agreed KPI’s.
  • Proactively manage NZ and AU warehouse inventory, identifying issues and seeking timely resolutions to exceptional stock scenarios.
  • Work closely with internal teams to ensure stock is available in market for agreed new product and promotional launch timings
  • Responsible for stock status and SLOB reporting to the business and actively manage end of life product
  • Inventory reporting as agreed e.g. weekly SOH reporting, Stock Status.
  • EOM/EOY Complete month end tasks as required to meet business reporting deadlines.
  • Manage all Marketing & Point of Sale inventory from PO’s to dispatch
  • Analyse & report on sell through data of New Product Development & Ltd Edition products
  • Report on trends of out of stocks from oversells or promotional activities

QC (5%):

  • Assist with resolving QC related issues within the supply chain.

Ad hoc (15%):

  • Coordinate re-work of SKUS with 3rd party suppliers as directed.
  • NetSuite super user for the Operations team.
  • Provide cover and support as necessary to team.
  • Adhoc tasks and reporting as agreed.

 

KEY EXTERNAL RELATIONSHIPS

  • Distributors.
  • NZ & AU 3PL warehouse.
  • Export forwarders & Domestic freight partners.


SKILLS AND EXPERIENCE

Functional Skills:

  • Experience in a similar logistics role - ideally three plus years' experience.
  • Strong numerical, analytical and problem-solving skills.
  • Comfortable with building Microsoft Excel reports and manipulating data
  • Has used ERP systems (NetSuite experience will be an advantage).
