Aviva UK now have a unique and exciting Governance Operations Assistant role within our market leading Governance Function. As part of the Subsidiary Governance & Operations team, this role combines boardroom company secretarial support with an operational focus - supporting the technology enabled delivery of subsidiary governance across the Aviva Group. We see this as a phenomenal opportunity for a newly qualified company secretary to broaden their commercial skills and be key in supporting the operation of a high functioning governance team.
Aviva uses “Smart Workingâ€, and the person in this role can be based anywhere in the UK, as long as they are comfortable regularly travelling to either our London, Bristol, Norwich or York offices each week.
The role’s duties & responsibilities
This position involves a rare combination of core boardroom company secretarial support with operational and commercial activities, some responsibilities are:
Playing a key role in determining and supporting the team’s technology strategy and future roadmap - bringing fresh ideas and a technology enabled approach
Reviewing and supporting effective use of legal entity technology - configuration of the platform and supporting with automation, dashboarding and reporting
Acting as a technology champion for the Governance Function; being the first port of call for any queries, particularly in relation to Diligent Entities and Board Books
Ensuring the business and our regulators have transparency over the legal entity structure of the Aviva Group by building quarterly structure charts - taking ownership for Close Links reporting
Supporting the company secretarial and governance services to the Audit and Risk Committee of Aviva International Insurance Limited - setting agendas, attending and minuting meetings and ensuring the application of our subsidiary governance principles
Responsible for arranging the delivery of our Edge training programme, working alongside the Legal Operations team
Skills & experiences required:
Hands-on experience of configuring and implementing legal entity governance databases is essential – Diligent, Gems, etc.
History of fully utilising legal entity management technology solutions, including dashboarding, data analytics and reporting
Newly or part qualified company secretary with a strong attention to detail
Ability to run and support Audit & Risk Committees through an annual cycle; included regulated company minute-taking
Background of maintaining multiple, strong business relationships and managing complex projects with these people
