Job Description:

  • Greet customers and visitors with a positive and helpful attitude.
  • Help clients find their way around the office.
  • Notify customers when necessary.
  • Help maintain workplace safety by issuing, checking, and retrieving badges as needed, and maintaining visitor logs. Involved in a variety of administrative tasks including copying, faxing, note-taking and travel planning.
  • Meeting and training room layout.
  • Answer the phone professionally and route calls when necessary.
  • Help colleagues in administrative tasks.
  • Performing irregular administrative tasks.
  • Answering, transferring, and screening phone calls.
  • Sort and distribute mail.
  • Hire, manage and develop junior administrative team.
  • Provide excellent customer service.
  • Make an appointment.
  • Directing visitors to the office and appropriate persons.
  • Answering, screening and directing phone calls to ensure reception area is neat and tidy, with all necessary stationery and documents (eg. : pens, forms, and brochures).
  • Provide basic and accurate information in person and by phone/email.
  • Receive, organize, and distribute mail/mail daily.
  • Maintain office security by following security and access control procedures through the front desk (check logs, issue badges to guests).
  • Order office supplies and maintain inventory.
  • Update calendars and schedule meetings.
  • Arrange travel, accommodation and prepare supporting documents.
  • Keep records of expenses and office expenses.
  • Perform other front desk duties such as filing, photocopying, copying and faxing.

Job Requirements:

  • Proven work experience as a receptionist, front desk representative, or similar roles
  • Proficient in Microsoft Office suite
  • Hands-on experience with office equipment (e.g. fax machines and printers )
  • Professional attitude and appearance
  • Strong written and verbal communication skills
  • Resourceful and proactive when having problems
  • Excellent organizational skills
  • Time management skills and multitasking, ability to prioritize work
  • Customer service attitude
  • High school graduate; Additional certification in office management is a
  • degree plus an associate’s or bachelor’s degree in a related field.
