Introduction:

Boeing UK Limited is looking for a talented and motivated Executive Assistant on a 1 year Fixed Term contract. This key role will support three Executives based in the UK. This office works in a very fast paced, rapidly changing, dynamic environment that demands flexibility and the ability to adapt and support various activities.

The ideal candidate will be a proactive, diligent team player able to work closely with colleagues in the support office/team, but also individually in the nerve centre of a growing, strategically important business.

Position Responsibilities:

  • Performs the following tasks for managers on the executive payroll:

  • Coordinates and processes domestic and international business travel arrangements, monitors designated business traveler's logistics, generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards.

  • Collects and compiles data to provide visibility of status for traveler's review and/or signature.

  • Creates, edits and maintains electronic and written communication.

  • Tracks and maintains information relative to department and business operations. Verbally communicates a wide variety of information to multiple audiences. Processes incoming and outgoing communication and correspondence to ensure proper dissemination of information.

  • Prioritizes and schedules management-level employee time and availability for efficient use of time.

  • Tracks and maintains designated conference room schedules for availability and efficient use of resources.

  • Coordinates with the appropriate focal(s) to support the acquisition and maintenance of resources.

  • Orders and maintains office supplies.

  • Plans and implements logistics for executive level internal and external events. Provides guidance for less experienced employees.

  • Works under limited supervision.

Key skills and attributes:

  • Communication: Excellent written, verbal and interpersonal communication skills with ability to retain composure and flexibility under pressure are key

  • Computer Skills: Proficient in MS Word, Excel, PowerPoint and operation of office equipment such as PCs, copiers, scanners, fax and video conferencing equipment

  • Organisation: Ability to multi-task and to determine and manage priorities to meet multiple deadlines is important within this role

  • Team Working: This role will work as part of a small team supporting the executive leadership of Boeing in the UK, therefore being able to work effectively as part of a team is crucial. As an individual the candidate needs to be precise, accurate and meticulous, as well as reliable, pro-active and self-confident.

Required Qualifications:

  • Experienced in working in a multicultural environment, fast paced, dynamic environment

  • Successful candidates will have demonstrable experience of working in a busy, demanding and customer-focused office at Executive level

  • Ability to demonstrate exposure to coordination of European Leadership engagements preferred

Relocation:

This position does not offer relocation. Candidates must live in the immediate area or relocate at their own expense.

Work Authorization:

This requisition is for a locally hired position in the UK. Candidates must have current legal authorization to work immediately in the United Kingdom. Boeing will not attempt to obtain Immigration and labour sponsorship for any applicants. Benefits and pay are determined at the local level and are not part of Boeing U.S. based payroll.
