Horizon Energy Group, based in Whakatane is recruiting for an Executive Assistant.
Reporting to the Group Chief Executive Officer, you will be responsible to perform confidential Secretarial and Administrative duties for the CEO, members of the Board and the Executive Leadership Team. Responsibilities include:
- Administrative and minute taking for Executive Management and as required for Board meetings.
- Providing support for the CFO/Company Secretary with the executing of Board papers and Board approved documentation, Companies Office administration, Shareholder reports, and legal document administration such as for easements and deeds.
- Leading the preparation and compilation of monthly Board Reports and Board Committee Reports.
- Arrange seminars and functions for the Chief Executive Officer, Board of Directors, customers and/or external consultants. Including all travel, accommodation, conference venues and catering arrangements.
- Maintaining and coordinating the Executive Teams' diaries.
- Completing documentation, presentations and spreadsheets for Chairman, Board of Directors, Chief Executive Officer, Executive Team, Corporate Contractors and staff as and when required.
- Ensuring appropriate filing maintenance, archiving, and destruction of records on a regular basis.
- Liaising with property managers, suppliers, couriers, cleaners, service providers, lift maintenance company, and trade staff.
To be successful a candidate will require the following qualifications and experience:
- Minimum of 10 years executive assistant experience in a medium to large corporate environment.
- Experience with the use of online Board software is essential.
- Experience with Company Secretarial duties preferred.
- Staff Management/Supervision experience.
- Sound knowledge in the operation of office equipment.
- Strong Administration skills - organised, thorough, systems orientated with meticulous attention to detail.
- Excellent levels of computer literacy and proficiency in Microsoft office suite and Adobe Acrobat Pro including Visio, PowerPoint and Outlook.
- Ability to take minutes and produce reports.
- Self-starter, extremely well organised and able to prioritise effectively in order to maintain high service level standards and efficiency.
- Flexible, co-operative and supportive team player with high work ethics that will require the individual to work at times after hours.
- Strong ability to anticipate and manage the CEOs diary, workplan of the Board and executive leadership team.
- Strong ability to organise function and events.
- Approachable and helpful manner, with strong customer service skills.
- Ability to deal with a wide range of people and establish effective working relationships with Managers and staff.
- Current Unrestricted NZ Drivers Licence.
