Job Description

    Role & Responsibilities

    Provide administrative support to the CHRO

    • Make travel arrangements + complete / approve expense reports
    • Manage and adapt a very busy agenda, understanding the priorities (sometimes it means re-organizing time and space at the last minute)
    • Maintain digital library
    • Compose and prepare correspondence in French and English
    • Create/update presentations
    • Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the office, including those of a highly confidential or critical nature

    Support Global People & Organization governance

    • Work closely with the Head of Organization Design & HR Effectiveness Global budget governance support
    • Global HR strategic priorities governance support
    • Handle logistics for calls, meetings and events (some international) including taking meeting minutes

    • Collaborate, cooperate and coordinate seamlessly with:

            - Leadership Team assistants:  Act as a liaison and provide support to the LT and their assistants when needed

    - Organization and People leadership Team assistants: Maintain them informed of priorities and create smooth, friendly cohesion

    Project Management

    • Autonomously or in contribution to Organization & People strategic priorities

    Main competencies required

    • Ability to work under pressure, on complex projects and in a sometimes-challenging environment
    • Proactive, critical thinking, and solutions oriented
    • Articulate communication (doigté) skills, both in French and English
    • Organizational skills and attention to detail
    • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff of all levels
    • Ability to maintain a high level of integrity and discretion in handling confidential information
    • Significant C-level executive support experience
    • Intellectual curiosity / mental agility, multicultural sensitivity
    • Strong emotional intelligence
    • Project management skills
    • Soft skills: warm personality, empathy, active listening (keeping pulse on team spirit), instinct, creativity (can switch from plan B, to C, to D), patience, open to feedback, positive energy and good sense of humour
    • Proficiency with Microsoft Office, Concur
    • Interest in People and Organization
    • Digital savvy a +
