Job Description:

Join the award-winning Toronto Public Service as an Elections Assistant focusing on delivery of the Mail-in Voting program within Toronto Elections in the City Clerk's Office.
Major Responsibilities:
Performs clerical duties such as responding to inquiries, data input, photocopying/faxing, sorting, collating, filing, drafting correspondence, receiving and distributing mail, etc.
Inputs, updates and maintains data, filing and retrieval systems for records/documents.
Responds to inquiries requiring broad knowledge of the operational area/function.
Sets up equipment and supplies; stocks shelves.
Tests and operates election voting equipment.
Receives, inventories and distributes documents and election supplies.
Provides proofing to ensure quality control of election products such as ballots, voters lists, voting place supplies.
Performs other related duties as assigned.

Experience working in a customer service environment, responding to customer inquiries and dealing directly with staff and the public in-person, by email and by phone related to Mail-in Voting operations.
Experience providing administrative/clerical office support duties such as data management (entering, retrieving, and updating data).
Experience collecting, reviewing and processing incoming applications and return Mail-in Voting Packages.
Experience using Microsoft Office Suite (e.g. Word, Excel and Outlook).
Experience working with Voting Systems and other Voting Technologies is considered an asset.
You must also have:
Excellent interpersonal and customer service skills with the ability to work effectively, both independently and as a member of a team.
Excellent oral and written communication skills with the ability to communicate effectively with all levels of staff and the public and follow instructions.
Excellent multi-tasking, organizational and time management skills, including attention to detail, and the ability to set priorities and meet deadlines.
Ability to exercise good judgement in public relations when dealing with members of the public, and all levels of staff, including elected officials.
Ability to handle confidential and sensitive information with discretion and tact.
Elections experience would be considered an asset.
Ability to work long hours during peak periods including evening, statutory holidays and weekends as required.
Fluency in another language would be considered an asset.
