Major Responsibilities:
The Election Assistant, Toronto Elections (Data & Voting Technology), under the direction of the Project Manager, Toronto Elections, will support and implement all aspects of the municipal election with specific responsibilities to support vote counting equipment and technologies.
Loads/unloads election supplies and equipment such as paper products, cardboard, equipment, boxes, furniture, etc.
Assembles supplies, equipment and furniture.
Receives, inventories and distributes documents and election supplies using dolly or hand-operated pump lift.
Stocks shelves.
Sets up furniture, equipment and supplies.
Provides proofing to ensure quality control of election products such as ballots, voters lists, voting place supplies.
Tests and operates election voting equipment.
Performs clerical duties such as responding to inquiries, data input, photocopying/faxing, sorting, collating, etc.
Key Qualifications:
Experience working with voting systems and other voting technologies.
Experience in proofreading for quality assurance with attention to detail
Experience using Microsoft Office applications (Microsoft Word, Excel and Outlook), including working within a Windows operating-system environment
Experience processing, sorting and delivering supplies and equipment in a warehouse or similar environment.
Experience working in a customer service and team environment, responding to customer enquiries and dealing directly with staff and public in person and by phone.
Experience working with database systems
Election experience is an asset.
You must also have:
Ability to perform inventory control including quality assurances.
Ability to work independently with minimal supervision as well as cooperatively as part of a team
Excellent organizational and time management skills, including attention to detail, ability to set priorities, ability to meet deadlines, and ability to deal with conflicting priorities at work.
Problem solving and decision making skills with the ability to work effectively with minimal supervision both independently and as part of a team.
Excellent oral communication and presentation skills to communicate effectively with all levels of staff and the public in an efficient and diplomatic manner.
Highly-developed interpersonal, problem-solving, and customer service skills and the proven ability to deal with challenging situations.
Sound judgement and the ability to handle information of a confidential/sensitive nature.
Knowledge of the Accessibility for Ontarians with Disabilities Act (AODA).
Ability to perform office duties such as creating and formatting documents, filing and answering phone/email inquiries.
Willing to travel extensively throughout the City of Toronto and work in inclement weather conditions.
Willingness and ability to work long hours in peak periods, including evenings and weekends.
Access to a vehicle is an asset or being comfortable with taking public transit for off-site event and meetings.
Ability to lift materials weighing up to 40 pounds
Ability to work on multiple projects in fast-paced environment
Ability and willingness to work overtime during peak periods including evenings, statutory holidays and weekends as required
