AREA OF RESPONSIBILITY:
Reporting to the Supervisor, this position performs data entry, data editing and word processing using various applications for parks maintenance management and payroll system. This position also generates appropriate reports, asset tracking, maintains the division’s attendance records and filing system, and provides guidance and direction to seasonal staff.
Provides exceptional customer service delivery for the various Divisions within Parks Operations by accurately documenting requests, dispatching requests of urgent nature, and redirecting inquiries and complaints.
Inputs, updates and verifies data on all parks maintenance management and payroll information systems; edits daily and updates as needed using various applications and trackers, i.e Infor, Hours of Service tracking, Versatile, Class, GeoMedia, Cemetery system, etc.
Generates payroll, budget and parks maintenance management reports to be used in capital budget preparation and service level delivery.
Maintains attendance records including sick days, vacation and lieu time for full time staff and prepares reports.
Order, receive, track, verify and update asset inventory.
Review tree permit application, enter service requests, track, and liaise with contractors to coordinate work and invoicing.
Monitor, coordinate, and track event equipment requests, and approve or deny based on equipment availability.
Coordinate and prepare schedules, prepare agenda and take minutes of the meeting, and communicate alerts to management.
Utilize 2-way radio to sign in and dispatch snow clearing locations, and monitor incoming weather updates.
Assist in seasonal hiring by coordinating interviews, and preparing packages for students and temporary workers; sort and fulfill clothing orders for seasonal staff and preparing cost breakdown
Provides backup support for Clerk 1 and Cemetery Clerk, involves electronically recording customer service requests.
Acts as information technology transition team member and provides software support to staff.
Maintains division’s filing system.
Provide guidance to summer students.
Maintains photocopying records. Utilizes Microsoft Office and Outlook for various word-processing applications, Microsoft Excel for spreadsheet applications and Microsoft Access for database applications.
Performs additional similar and related duties as assigned.
SELECTION CRITERIA:
High School (Grade 12) graduation plus an additional program of up to one year in Office Administration, or equivalent.
Over one (1) year, up to and including two (2) years of related experience.
Exceptional written and verbal communication and interpersonal skills with an emphasis on customer service.
Ability to work independently or as part of a team.
Working knowledge of Microsoft Office Suite.
