The Tower Hamlets Schools (THS) PFI Contract covers 24 schools in East London and is part of a wider PFI contract, covering Facilities Management contracts in London and the Midlands. G4S FM provides full Lifecycle replacement and mechanical and electrical system (M&E) services across these 24 schools as part of the Tower Hamlets PFI Contract. 


We have an opportunity for a Compliance Administrator to join our team. This is a temporary role on a 6 month fixed term contract working full time, 40 hours per week, Monday to Friday, 9am - 5pm.

As Compliance Administrator you will coordinate the G4S Engineers and sub-contractors, and provide administrative support to the operational team to ensure effective and compliant delivery. Day to day you will liaise with suppliers and subcontractors to ensure that cost effective delivery of products and services is maximized and maintained. You will assist in the management of all specified operational delivery requirements and company objectives in accordance with established standards, policies and procedures.

 

Key Responsibilities will include:

Operations

  • Assist the SMT with the Quality and record management of the Tower Hamlets Schools contract.

  • Liaising with suppliers and subcontractors to provide up to date O & M information and Manufacturers Information for filing on the Quality Management System (QMS).

  • Logging, coordinating and notifying the helpdesk of closure of service delivery tasks using the Concept System to optimise service delivery in conjunction with the Statutory Maintenance Manager.

  • PPM task verification, distribution, closure and filing.

  • Support the review of current documentation and assist in the update of all reports and information required for the QMS.

  • Saving, filing and archiving service records and other files as required.

  • Assist in the production of all operational , commercial, and client required contractual and compliance documentation.

  • Assist with record keeping process to ensure the upkeep and updating of QMS.

  • Assist with the production and up keep of all contractual documentation.

  • Develop close working relationships with the G4S operational team and support functions to ensure that the contract is supported.

  • Work with the central service desk in the timely closure of Concept tasks.

  • Record the damage, defects and variation costs and recharges and liaising with the Finance Administrator to ensure sales invoices are raised in a timely manner.

  • To assist with performance monitoring reports ensuring they are delivered in accordance with contractual requirements.

  • Assisting in the production of utility, fire strategy and asbestos reports as required.

General

  • Ensure the image of the contracts and overall G4S service delivery reflects the professional image of the Company.

  • Support Contract Management, where appropriate, in the proper implementation of and adherence to corporate policies and procedures as well as relevant statute to ensure that a consistent legislatively and contractually compliant service is delivered.

  • Help perpetuate a culture committed to meeting statutory and corporate health, safety and environmental requirements in order to maintain  safe and secure working environments.

  • Ensure total compliance with G4S policies and procedures.

  • Assist in ensuring the Health & Safety Policy is adhered and all procedures and policies as detailed in the Health and Safety Manual, including PPE non-compliance or unsafe practices. 

THE IDEAL CANDIDATE:

Essential Criteria:

  • Working knowledge of Concept Evolution.

  • Knowledge and understanding of M&E processes to enable accurate allocation and prioritisation.

  • Able to prioritise and organise effectively.

  • Flexible approach.

  • Ability to work to deadlines.

  • Good interpersonal skills.

  • Good people and communication skills.

  • Ability to work openly and collaboratively at all levels.

  • To be contractually and financially aware and ensure systems are implemented and monitored to mitigate contractual and legislative risk.

  • Quality background.

 

Desirable Criteria:

  • Recognized Health and Safety Qualification: IOSH / NEBOSH.

  • Understanding and experience in large corporate environments.

  • Experience of supporting FM contracts, ideally within Public Sector/PFI and Healthcare environments.

  • Experience of Quality Management Systems and Building records.
