If you have initiative, drive, and are looking to be part of an amazing organization and team, this job is for you!  Windows + Devices is looking for an experienced, energetic Business Administrator to be responsible for providing excellent executive administration and project support. The ideal candidates for this role must have experience navigating and changing directions quickly within a fast-paced environment. As a representative of the EVP/CPO office, this person will have stellar interpersonal and communication skills, strong attention to detail, the ability to self-direct, work independently and professionally with all levels in the organization, Microsoft Senior Executive leadership team and external customers in various levels and locations. The ability to build and maintain effective working relationships, accommodate diverse working styles and be fair and unbiased are essential to success in this role.  This person must uphold the highest level of integrity and business professionalism to be able to deal with highly sensitive information with absolute confidentiality. As a Business Administrator, you will work in close partnership with the Sr. Executive Assistant, Chief of Staff and other members of the organization and team to provide seamless support.

Responsibilities

  • Support the office to the EVP/Chief Product Officer of Windows + Devices, in planning and execution of engagements and administrative support needed to:
    • Assist in tracking incoming requests for time with the EVP/CPO.
    • Partner to proactively manage the detailed planning of all travel and logistical support for EVP/CPO. Including but not limited to air and ground transport, hotel, food, and conference room support.
  • Partnering and cross-collaborating with W+D teams as well as many parts of the broader company and external organizations.  
  • Understanding and applying knowledge of systems, tools and processes to ensure alignment and compliance with policies and standards. Recognize exceptions and proactively informs the business.
  • Partner in proactively managing and prioritizing a highly complex and constantly changing calendar.
  • Manage and maintain team aliases for the organization. 
  • Prepare, approve, and process business expenses for the EVP/CPO and Leadership Team. 
  • Assist with the broader organization admin team.
    • Building a strong discipline through collaboration for shared success across the company.
    • Sharing knowledge and experience with others, modeling best practices, and facilitating administrative teams for efficiency and results.
  • Plan and support business and team events, including but not limited to; global offsites, morale events and corporate events

Qualifications

Required Qualifications:

  • Minimum of 3+ years of demonstrated experience providing successful Business Administrative support.
  • Minimum 1+ year experience partnering with business leadership and other executive administrators in a Business Administrative support role/function.
  • High level calendaring experience.
  • Strong verbal and written communication skills to support working with team members and customers in various locations.
  • Demonstrated experience exercising sound judgment, tact, diplomacy, integrity, professionalism in all communications and proven ability to maintain confidentiality.
  • Ability to lift and move standard office equipment (i.e. computers and peripherals).
