Job Description
Wells Fargo is seeking an Associate Administrative Assistant to support the Chief Credit Officer FIG-Banks & Head of Country Risk and the FIG Credit and Country Risk Analytics teams.
In this role, you will:
- Support Administrative Assistants or leaders by performing routine administrative tasks
- Identify ways to improve individual work processes within established administrative procedures
- Perform routine administrative tasks, including scheduling appointments, making travel arrangements, distributing mail, producing routine documents and reports, using word processing and spreadsheet software, performing routine data entry operation, answering, as well as directing phone calls, and taking messages as needed
- Receive direction from administrative assistants, supervisors, or leaders
- Escalate questions and issues to more experienced individuals
Key responsibilities include:
- Managing outlook calendars across multiple time zones.
- Making international and domestic travel arrangements, including visa applications when necessary.
- Compiling, reconciling and ensuring timely filing of expenses adhering to travel and other relevant policies.
- Own, manage and maintain the FIG Credit SharePoint site, including technical aspects, posting of materials and keeping the site up to date.
- Assist in compiling presentation materials as required using PowerPoint, Word, or Excel.
- Assist with budget planning and manage subscriptions across the team.
- Maintain tracking reports as required for credit actions/conditional approvals.
- Assisting, screening and/or selectively referring callers from both external/internal sources.
- Assist with office/functional procedures and controls including procurement as necessary.
- Assist with onboarding new team members, including sourcing IT and other equipment, arranging systems access, obtaining credit and business cards.
- Assist with offboarding tasks as required.
- Assisting in planning and organising team offsites, including sourcing and arranging suitable venues, facilities and team member accommodation.
Required Qualifications:
- 5+ years of experience in Administrative Support, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
Desired Qualifications:
- Detailed knowledge of Concur for travel and expenses
- Advanced Microsoft Office skills
- Attention to detail and accuracy
- Strong, verbal, written, and interpersonal communication skills
- Strong organisational skills, ability to prioritise and multi-task
- Ability to work effectively in a team environment
