Position Summary

Reporting to the Regional Manager, Mixalakwila Campus, the Administrative Support Assistant performs a variety of functions relating to the operations of the Port Hardy Campus including administration of educational service agreements and educational service agreement budgets, collaboration between and other departments of the College, providing information to external agencies, contractors, and the general public. The Administrative Support Assistant works in collaboration with the Regional Manager, Mixalakwila Campus to provide administrative and operational support within established campus and college wide policies and procedures. The Administrative Support Assistant to the Regional Manager, Mixalakwila Campus is aware of the Mission and Values of North Island College, incorporating and practicing the values in everything they do.

Duties & Responsibilities

1. Provides confidential administrative and operational support to the Regional Manager, Mixalakwila Campus including all aspects of contract training and regional operations. The Administrative Support Assistant provides initial contact for the Regional Manager, Mixalakwila Campus office, handling inquiries from staff, faculty, students, clients and the community regarding educational services, regional operations and provides follow-up if required.

2. Coordinates information and provides support in the preparation of educational service agreements, educational service agreement budgets, campus operational budgets, non-systems capital budgets and minor renovation projects and adheres to all college-wide financial guidelines and policies.

3. Assists the Regional Manager, Mixalakwila Campus with college activities related to campus strategic planning, campus and advisory committees, special visitations and conferences and College Board functions. Provides support in preparation for committee meetings, takes minutes and distributes as appropriate.

4. Provides organizational support to the Regional Manager, Mixalakwila Campus with regional operations and liaises with external staffing personnel such as security, janitorial and building maintenance etc. to ensure work assignments are carried out as required. Coordinates and ensures support staff and faculty are provided with telephone and security codes and procedures, computer access, and an appropriate workspace.

5. Ensures human resources and payroll information forms and timesheets are completed. Conducts campus orientation for new support staff and faculty members.

6. The Administrative Support Assistant to the Regional Manager, Mixalakwila Campus supports campus operations, continuing education responsibilities and other duties as assigned by the Regional Manager, Mixalakwila Campus.

Required Education & Experience

1. One-year certificate in Administrative Office Management, or Business Administration, or Office Administration, or related discipline.

2. In excess of 3 years demonstrated experience in office management or equivalent combination of training and work experience.

Required Knowledge Skills & Abilities

1. Knowledge and experience developing and monitoring budgets.

2. Knowledge and experience in a post-secondary institution or, educational institution.

3. Ability to work independently in a busy multi-tasking, high volume environment.

4. Proven ability to work cooperatively as part of a team and use good judgment, tact and diplomacy.

5. Excellent organizational and time management skills with the ability to work independently, to plan and prioritize tasks, efficiently meet deadlines and the ability to follow standard business practices.

6. Excellent communication, interpersonal and customer service skills, with the demonstrated ability to exercise tact and diplomacy.

7. Experienced and Advanced knowledge and use of microcomputers and computer software and database programs. Minimum typing speed of 50 words per minute.
