Job Description:
Offer support to leadership members within the Emergency Department, Intensive Care Unit, Trauma and Sperling COVID clinics with day to day administrative duties. In addition to performing traditional Administrative Assistant tasks such as word processing, filing, copying, the Administrative Assistant functions as a primary communications link between the rest of the hospital, the public and department staff.
Responsibilities:
Receive and direct phone calls from staff, all other hospital groups and outside parties
Coordinate appointments for leadership staff
Scheduling Performance Appraisals/Probationary Reviews
Assist in setting up job interviews/Human Resources job postings
Assist leaders by preparing documents, reports, agendas, minutes and department publications (ED Newsletter)
Maintain Accreditation department materials regularly and provide support during the Accreditation review process
Communicate with department staff on behalf of the leadership team
Act as a Human Resources liaison
Run Meditech General Ledger Financial Reports
Filing of Employee documentation
Maintain credentialing databases for nursing skills
Assist with PeopleSoft and the Recruitment Management System
Coordinate events (Town Halls, Education initiatives, department specific events, etc.)
Maintain communication board and huddle boards within the units
Education:
Completion of a two year college program with a focus in Secretarial or Administrative Assistant work
Ontario Secondary School graduation diploma with commercial options or equivalent secretarial skills
Experience:
Progressive experience in administrative roles
Computer skills including MS Office (Word, Excel, visio and PowerPoint required)
Has worked for a Manager/Director
