Job Description

Purpose:

The Faculty of Liberal Arts and Professional Studies (LA&PS) is the largest Faculty at York University with over 24,000 undergraduate and graduate students, and almost 100 programs delivered through 25 Departments, Schools and Colleges, plus the IBM Markham Learning Site. Through innovative course design, diverse experiential education and learning opportunities, and a supportive community environment, our students receive the education they need to create big ideas that have an impact on the world.The Administrative Assistant provides confidential administrative support to senior administrators, coordinates meetings, provides logistical support for events and conferences, coordinates administrative processes and calendaring and provides back-up support for the Receptionist & Student Services Assistant (RSSA) and various LA&PS Dean's Office administrative support team members. Reporting to the Executive Assistant to the Dean, and working with colleagues within the Dean's Office, and across the Faculty and campus, the Administrative Assistant will support day-to-day office administration and functions. The Administrative Assistant will support the vision, mission, values and strategic direction of the Faculty of Liberal Arts & Professional Studies and York University, and contribute to a positive, supportive and student-focused team environment of high performance, respect, trust, collaboration and continuous improvement. embraces diversity and fosters inclusion.

Education:

College Certificate in Office Administration or an equivalent of 2 years recent experience (defined as within the last three years) working at York University and performing the same or similar tasks. This education equivalency is in addition to the experiential requirements outlined below.

Experience:

Minimum three (3) years' recent and related client/customer service, administrative, and event coordination experience in a fast-paced environment. Experience to include administrative assistant support preferably for at least two (2) senior adimistators, managers etc. Additional experience required includes: scheduling and organizing multiple complex electronic calendars, coordination of events, meetings and conferences of various sizes, coordination of administrative processes,reception and other related administrative and client service support.Experience in a post-secondary environment and providing service to students and faculty members is strongly preferred.

Excellent oral communication skills to elicit information and answer inquiries.F. Able to communicate effectively with a diverse university student population. Displays a genuine desire to understand and meet the needs of students.G. Strong interpersonal skills to deal courteously and effectively with people.H. Skilled in applying tact, discretion and diplomacy is essential.I. Proven success in building relationships, rapport, and trust at all levels within a complex environment.J. Demonstrated ability to work on a team and to work effectively independently. K. Good judgment and strict confidentiality. L. Demonstrates initiative and flexibility.M. Demonstrated commitment to personal and professional development.N. Demonstrated skill/ability in: word-processing (advanced MS Word), spreadsheets (intermediate MS Excel), and databases (intermediate), electronic calendar/scheduling software and email (Outlook 365), and Student Information System (SIS).
