Job Description

  • Meeting room bookings for the hiring manager and the team
  • Lunch and refreshment arrangements (via Office Support) for in-person meetings
  • Timesheets and expenses
  • Organizing document printing/couriers/etc. with office support
  • Coordinating signatures on documents
  • Lobbyist registry updates
  • Following up with voicemails/calls that are left with reception
  • Making travel arrangements
  • Research/booking for locations for team events, dinners, lunches etc.
  • Logging team vacations
  • Cosential updates – adding new companies/clients/projects
  • Attend office in-person on Thursdays to help out with printing/refreshments/meeting team etc.
  • Cover for Monika
  • Prep of documents, letters, agendas, minutes, etc. including formatting and proof reading.
  • Ad-hoc tasks from the design team

Qualifications

You'll need to have:

Minimum 3-5 years' experience working in a large office or work environment

Highly capable with Microsoft Office Suite

Familiarity with Sharepoint and O365

Abilities with Mac and PC preferred

Information managements skills (filing systems, IT processes, etc)

Confident, socially comfortable with people

Energetic, diplomatic, flexible problem-solving mindset

Self-directed, ability to determine task priority, necessity, etc.

Keen interest in learning and mastering new skills

Quality Management driven

Architectural / Engineering / Real Estate Development experience helpful

Additional Information

We are currently in a work from home model during COVID-19, but when we do return to the office we're located at 55 St. Clair Ave West, this office is steps away from St. Clair station and is easily accessible by bike, TTC and car. Occupying 7 floors, with over 700 employees, it is the largest office at IBI Group. The floors are open concept and represent our collaborative approach to projects.
