What you'll be doing

The Administration Officer position reports to Western Sydney Diabetes (WSD) program manager. This position is primarily responsible for the administrative and office requirements of the Western Sydney Diabetes (WSD), Virtual care diabetes clinics, Mt Druitt Community Health Centre diabetes clinics and Diabetes Detection and Management Strategy (DDMS). The responsibilities include general office management, administration duties, diary management, reception and phone duties, patient appointments, preparing general correspondence, coordination of meetings, distribution of meeting papers and documents efficiently, professionally and confidentially as required.

The Administration Officer will be required to establish working relationships with staff both within the Local Health District including Executive staff, Managers and Senior Clinicians as well as the Western Sydney PHN (WentWest) staff and healthcare providers from GP, private and community sectors.

The Administration Officer is responsible for providing seamless, executive level support to the Western Sydney Diabetes Team as well as contribute to the wider success of the team.

Please note: To be eligible for permanent appointment to a position in NSW Health, you must have an Australian citizenship or permanent Australian residency.

Selection Criteria: * Demonstrated comprehensive and successful experience in providing high level executive assistance and support to Senior Managers including a proven capacity to operate effectively in a complex environment demanding confidentiality, flexibility and discernment.

Demonstrated organisational/time management skills with the ability to work under pressure, meet tight timeframes and manage competing demands and handle unexpected matters when they arise in a professional & courteous manner.

Advanced proficiency in the use of virtual platforms such as myVirtualCare (PEXIP), MS Office (Teams, word, powerpoint, excel) Zoom, Oracle, HealthRoster, HPE, Patient Management system (iPMs) and Medicare billing.

Demonstrated superior verbal, written, negotiation and interpersonal communication skills and effective communication skills with all levels of a large organization

Demonstrated capacity to work with minimal supervision yet work effectively in a team environment.

Manage the input and integrity of the data, including reviewing the quality, accuracy (attention to detail) and format to ensure information is presented in a clear, consistent manner that meets organisational standards

Experience in monitoring, implementing and evaluating administrative processes within a department to optimise efficiency, positively support change and the delivery of quality outcomes.
