Job Description

Administration Manager 

We are looking for an enthusiastic person to join our team at Carrick Winery as Administration Manager. 

The ideal addition to our team will provide excellent time management skills, present a discreet, efficient and personable front as the Company's first point of contact. Carrick uses Crystal Payroll, Xero accounts system and the standard Microsoft packages. The company maintains a number of management reports and supporting data reports on Excel spreadsheets.  

Core Responsibilities 

Accounts

To deal with all aspects of the accounting and financial systems of the business, including but not limited to:

  • Daily Bank Reconciliations
  • Creditors - Processing/coding and payment of invoices
  • Debtors - Invoicing & debt control
  • Bi-Monthly GST returns
  • Statement reconciliation
  • Creating and uploading batch payments
  • Maintain Balance sheets against budget

 

Stock Control & Excise

To maintain regularly (monthly) updated stock records, including production and depletions

  • Monthly Stocktake all locations
  • Monthly Excise Return and payment of Excise duty
  • Annual Wine Equalisation Tax return
  • Wine Levies quarterly
  • Calculation and maintenance of COGs post bottling

 

Payroll

  • Weekly processing, payment and upkeep of personnel records including KiwiSaver & ACC
  • Coding and allocation of costs via Xero
  • Monthly PAYE reconciliation and payment

 

Export/Domestic Orders & Documentation

To deal with export/domestic shipments & documentation.

  • Ensuring export certification is current for all wines eligible for export
  • Dealing with customs documentation
  • Organising all certification documents for all shipments including; BioGro, MPI, Organic Certifications
  • Arranging dispatch for arrival at port by cut-off date/time
  • Annual Wine Equalisation Tax return
  • Maintain distributor communication on stock allocation and vintage rolls
  • Process all orders through logistics systems and maintain accurate documentation to reflect

Compliance

To keep records and maintain all compliance aspects of the business, including Resource Consents, Liquor Licensing, Registrations, Trademarks, Managers Certificates, and Hazardous Substances test certificates.

 

Cellar Door/Wine Club

Support the Cellar Door staff 

  • Assist in the timely processing & dispatch of all orders, including Cellar Door and Web generated orders
  • Assist in the 3-monthly dispatch and processing of Wine Club orders.
  • Assist in the upkeep of the Wine Club & Mail order databases.
  • Production of Mail order offers and processing of these.
  • Process all website orders and maintain communication with clients/members
  • Reporting on IdealPOS for monthly stock movements

General

  • Maintain excellent communication and relationships with all key external and internal suppliers
  • General website maintenance when required
  • Complete annual insurance reporting as required
