We are looking for a contractor who will work 24 hours per week, Monday to Friday. There will be a degree of flexibility about the hours worked. Success for the position will rely on achieving the outcomes within the functions of the role.
Please note this is a contract until the end of June 2023, with a likely extension.
You’ll be keen to make a meaningful contribution to the Paediatric Society of New Zealand. You’ll be working directly with the Administration Manager and responsible for our administrative tasks, including:
- Act as secretary/administrator to the NZ Child & Youth Clinical Networks (NZCYCN) through the Clinical Leads and Facilitators including arranging face to face meetings, zoom appointments booking venues, arranging travel etc
- Agenda distribution in conjunction with the Facilitators, taking/preparing minutes and actions under the direction of the Clinical Network Support Manager etc
- Support in providing letterheads and drafts for formal network correspondence
- Support the process of organising quarterly reports from each NZCYCN for the Ministry of Health
- Management of contact lists for the NZCYCN and support new members to become PSNZ members.
- Support meeting scheduling with doodle poll etc.
- Any other support requested by the Admin Manager
- Any other support for the NZCYCN as requested by the Clinical Network Support Manager (for example assisting with the formatting of documents, collating reports, maintaining document review requirements etc)
- Carry out ad hoc project work where necessary and where the role has capacity
- Role continually looks for an improvement in processes and ways to improve efficiencies

Essential skills required
- Cultural awareness; in particular an understanding of Te Tiriti o Waitangi and Te Ao Maori and the principles of Equity.
- Proficient computer skills including the Microsoft Office suite.
- Excellent written and spoken English
- Has a strong eye for detail and the ability to work across various workstreams
- Self-motivated, able to take responsibility for ensuring that tasks are completed and deadlines are met
- Highly organised with excellent time management skills
- Has a ‘can-do' approach
- Has a growth mindset and an openness to development
- At least 3+ years experience in a similar role
