Job Description

General Administrative Duties

  • Maintain general office and other supplies as appropriate within delegated authority levels.
  • Process inward and outward mail daily.
  • Provide clerical and secretarial support to the care home.
  • Prioritizes and completes word processing and spread sheeting tasks as assigned, including reports, letters, newsletters, statistical charts and graphs, and various documentation related to the day to day operation of the business.
  • Maintain confidentiality of all information received.
  • Maintain filing and database systems including archiving which promote easy access by authorized personnel.
  • Demonstrate competency in necessary computer skills.
  • All allocated tasks are completed in a timely and professional manner.

Reports and Accounting

  • Ensures deadlines are met for all reporting needs – Care Home occupancy, finance and others as required.
  • Collate, code and distribute accounts payable invoices for signing, and despatch within required timeframes.

Communication and Cooperation

  • Maintain clear and open communication networks both internally and externally.
  • In the absence of management, field calls and direct enquiries to relevant personnel.
  • Accept responsibility and act accordingly.
  • Demonstrate ability to use initiative.
  • Does not exceed authority.
  • Performs other duties as required to assist with general teamwork.

Personal and Professional Development

  • Continually update knowledge on relevant topics
  • Participate in ongoing education as appropriate and agreed.
  • Participate in own formal and informal performance appraisals.

Understand the organisation’s policies and procedures

  • Obtain knowledge and awareness of Bupa policies and procedures and adhere to these.
  • All policies and procedures are followed to endure resident care is safe and meets required standards.
  • Maintain Confidentiality of staff information according to the Privacy Act (1993) and Health Information Privacy Code (1994).

Reception

  • Demonstrates a consistently high level of service to callers, residents and visitors to the Care Home.
  • Answer incoming telephone calls within 4 rings directing to appropriate personnel or dealing with enquiries.
  • When unavailable, phone is set to voice mail. Voicemail is cleared and actioned hourly during working hours.

KEY COMPETENCIES

  • Proficiency in full MS Office Suite (Excel to Intermediate Level, Word, Outlook and PowerPoint).
  • Typing speed of 50 words per minute.
  • Show a professional and pleasant work manner.
  • Good numeracy, attention to detail with high accuracy and able to meet deadlines due to good time management.
  • A high level of both written and oral communication skills.
  • Good interpersonal skills with sensitivity to the needs of the elderly.
  • Ability to work individually and to cooperate with co-workers.
  • Good organisation and prioritisation skills.
  • High standard of professionalism.
  • Honest, conscientious, flexible and self motivated.
  • Commitment to ongoing quality improvement.
  • Ability to adapt to change and to work efficiently under pressure.
